Cisco WebEx Board Quick Reference Guide Layout

Functions

The Cisco WebEx Board is an all-in-one team collaboration device for meeting rooms and spaces. It combines wireless presentation, digital white boarding, and video conferencing in a single device. The home screen has three icons. One can always return to the home screen by tapping the Home button.

Camera

Call 1. Tap on the Call icon on the screen. If the main menu is not displayed, press the Home button. 2. Start typing the name or email of your contact in the Search field and select from the drop-down list of suggestions. 3. Tap on the green Call icon to start your call. Whiteboard 1. Tap on the Whiteboard icon and a new, white canvas will appear. 2. Use your finger or the stylus to start annotating. 3. Click the Share Live button on the bottom-right of the screen to share with others outside the room.

Tap on the Share screen icon and choose to use the Cisco app or connect with HDMI. 2. You are now sharing your screen with everyone connected to the meeting. 3. Click Stop in the bar at the top of your device to stop sharing.

End a Meeting

You must use teams to share your screen with the board. Use the instructions below to download Cisco WebEx Teams to your device.

Clear your Cisco WebEx Board after your meeting by pressing the home button and holding for 3 seconds.

Using WebEx Teams WebEx Teams provides an all-in-one solution for complete collaboration. It keeps teams connected anytime, anywhere, even after a meeting. You can use WebEx Teams by visiting: teams.webex.com or downloading the app. Download Teams for Desktop or Laptop

1. Visit: www.webex.com/downloads and click on the Download button for Cisco WebEx Teams. 2. Double-click the WebexTeams_x86.msi file you downloaded. 3. The WebEx Teams setup wizard will launch. Follow the instructions to set up. Once installed the app will launch automatically. Mobile Device (iPhone, iPad, Android, Blackberry) App

1. Navigate to your Apple App Store or Google Play and search for Cisco WebEx Teams. 2. Install app.

Getting Started

WebEx Team Space

Sharing with People in the Room:

If you are in the room with the Cisco WebEx Board and create space, all participants currently in the room with the Cisco WebEx Team app installed will automatically be added to the space.

1. Launch the Cisco WebEx Team app from your computer. 2. If prompted, enter your Humber email address and click Next and log in with your Humber credentials. 3. The Cisco WebEx Team app will detect the Cisco WebEx Board (bottom-left of the screen). 4. You need to work within a space. To create new space, click on the + icon beside the search box and choose Create a Space. Skip this step if you are working in existing space. 5. With your space highlighted, click the WebEx Board name and select Open Space. 6. You can either start using the WebEx Board features like the whiteboard, or open existing file – figure out what call does or choose to share your computer (Screen1) or a specific application. You should see your computer or application shared on the Cisco WebEx Board now.* test what morag sees 7. Click ‘stop sharing’ and the board will take you back to the main menu. * It may take up to a minute for the Cisco WebEx Board to display your shared screen. Annotating your Shared Screen: 1. Tap the screen once to see options to start annotation on the top left corner of the Cisco WebEx Board. 2. Touch the icon to enable annotation. 3. You can change colours or use the eraser from the bottom of the screen by tapping the corresponding dot. 4. Click done and the marked up screen shot will be saved in the Cisco Team Space file area. Whiteboard: 1. On the WebEx Board, tap on the Whiteboard icon 2. A blank canvas will appear. Use your finger or the stylus to write on the board. You can change colours or use the eraser from the bottom of the screen by tapping the corresponding dot. To go back one step, tap the undo icon. 3. Tap the plus sign to start with a blank board. You don’t lose the current whiteboard. To see all your whiteboards tap . Tap the one you want to use.

To add all others: 1. Click on the Teams icon to view your Space(s). 2. Click on the box with the Space you want to add Team Members. 3. Click on Team Members at the top of the page 4. Tap on Add Team Member and start typing the name. If they are already a Cisco WebEx Team user, their name should auto-populate. Simply click on their name. If they are not an existing user, you can invite them using their email address. They will receive an email invitation asking them to ‘join you now’.

Schedule a Meeting 1. Navigate to the url: humber.webex.com 2. Sign in (top-left button) with your Humber email and click Next. 3. Sign in with your Humber credentials. Schedule in Advance 4. Click on Schedule a Meeting. 5. Enter the textboxes of the required along with the time and date information for your meeting and any attendees. 6. Click Schedule. Start Meeting Now 4.
