WHAT ARE MEETING MINUTES?
• Describe what was discussed and decided in a meeting. • Permanent record of the meeting for future reference. • Include an over view of the structure of the meeting. • Note down the matters that are being dealt with and decided on during a meeting and to produce the minutes of the meeting to every one. 2
FORMAT OF MINUTES
• Generally, minutes begin with the organization name, place, date, list of people present, absent and the time. • All the agenda for the said meeting. • All official decisions must be included. • The reports given and the person involve. • The vote tally may also be included.
• The date, time and place of the next meeting. • Assignments and the person responsible. • The minutes may end with a note of the time that the meeting was adjourned. 3

SPACING AND TYPING FORMAT • Main Heading in ALL CAPS and CENTERED and SS in between headings. • QS between headings and body of the minutes.
• Side Heading for Topics, DS above and below side headings. • DS body of minutes. • SS attendance list.
• Indent all first line of each paragraph. • QS between last line and the Chairman’s signature line. • At least 2”of the signature line.
• Centre the work “Chairman" within the 2”line. 5
