1. Departmental Policies The Dean reminded all the faculty members regarding the submission of Updated Syllabus, and Modules. The OBE syllabus must be submitted thru the provided link sent in the academic GC. On the other hand, Modules must be sent directly to the dean. Submission of students with lates and absences. The Dean also reminded the Faculty that they can also submit test papers as early as the last week of April. Reminder for those Professors/ Instructors who teaches education/professional subjects to use Multiple Choice Type of test only. Rationalization of the major exam is highly recommended. Discussing each question in the examination is important for us to know if the students really understood our lesson and ensuring the quality of the examination. Learning Activities should be documented that can be posted on the SEAS Facebook Page. Commendation for Dr. Tomelden for sharing a creative learning activity to the students. Our school is now accepting enrollees for the next school year, 202120222. Enrollees can be officially enrolled with as low as 1,000 pesos for initial payment. Facebook Posts at SACLI-SEAS Page Every faculty member can post on the SEAS Page. They can post, birthdays, Throwbacks All of the Faculty members will be scheduled for Posting on the SEAS Page. The schedule will be created by the Faculty Secretary. Students’ Referral of email addresses All of the Faculty members should ask students to refer 5 email address of their students’ friend specifically Grade 12. Submit email addresses to Sir Daven Valdejueza and Ms. Clowie Mindanao. Consultation Records Every Faculty Member should have a Consultation Record. The asynchronous schedule can also be a time for a consultation made by the Faculty Instructor. Rating Sheet/ Class Records The Rating Sheets and Class records must be submitted on the deadline so that our Salaries will not be hold by the HR Department.

10. Evidence of Creative Class Instruction The evidences of creative class instructions can be presented as part of the PACUCOA Accreditation of the institution. The Dean also reminded the Faculty members to always show their creative juices in teaching the students despite of their distractions inside their house. 11. Online Teaching Observation There will be as Teaching Observation to every faculty member as part of memorandum released by the Academic Affairs Office. The Dean will announce the schedule soon. 12. Psych Society Online Kumustahan All of the concerns and in every online kumustahan was spelled out through Google Forms. There are concerns from the Psych Society that may also perceived by the other students in the Higher Education Department. The Psych Society’s Online Kumustahan was presented to the faculty headed by Ms. Pamela Ordonez, Sir Erwin Manalastas, Ms. Darla Recto and Dr. Aileen Maningas. The Dean also reminded the faculty members to always be considerate and be kind to our students specially we have to consider their emotions, what they feel nowadays that we are still in a pandemic.

The meeting was interrupted due to Power Interruption at around 8:36 in the evening in most areas of Lucena City, Tayabas City and Sariaya.

The meeting was started at 7:30 pm and it was presided by Ms. Pamela Ordonez. The Meeting Agenda: 1. Pay slip Reminders 2. Agreement of New Payroll schedule 3. Other Matters

1. Pay slip Reminders The submitted letters were already been presented and subjected for signatory by the Academic Executive Committee. Dr. Aileen M. Maningas reminded the faculty to be mindful the words that they would use in the letter. The Dean also reminded the faculty that they can resend their letter of request as regards their payslip by stating more specific and more detailed so that the Accounting office or the HR can provide a definite answer to them. 2. Agreement of New Payroll schedule It was agreed upon the meeting and majority of the faculty agreed that the payroll schedule would be every 20th and 5th of the month. The payroll period of every 1st to 15th of the month will receive every 20th then the payroll period of 16th to 30th will receive on every 5th of the month. In addition, they deductions on any absences will be reflected on the payroll every 20th. The proposed new payroll schedule is still upon approval of the top management.

Attached herewith is the response of the faculty members proving that they have agreed to the proposed payroll schedule of the Human Resource Office.

3. Other Matters As per Accounting Office, Mr. Renen Esclanda, those who did not receive their Internet Allowance yet, the allowance should be reflected on their hold payroll.

Also, Dr. Maningas reminded the faculty members to complete their checklist which includes the 201 files, the departmental requirements such as the printed modules, Test Papers with Proper Table of Specifications. Regarding the submission of test exams, the test should be in a traditional way or format of creating a test paper. The soft copies should be submitted to the committee head of each clusters namely, Ms. Pam, Ms. Portia and Mr. Daven. As per Accounting Office, payslips will be sent through emails. However, the office announced that they will give a schedule to the faculty members of when they can get their pay slip. The meeting was adjourned at 8:53 in the evening.

2. Findings and Recommendations of the Evaluation of Online Hybrid Learning Findings: With a total of 80% of the total HED student’s population, the evaluation of Online Hybrid Learning was based with following findings: • It was found that the synchronous time is too long. • Based on the evaluation, students said that instructors gave too many offline activities. • Some of the students are requesting for a Printed Module due to poor connectivity and unstable electricity. • It was found that the students are being unmotivated or having a lack of interest in listening to the discussion of the instructors. • Some students are asking for a Printed Modules specially for those who are living in an area with a poor internet connectivity/signal and unstable power source.

The Limitation of offline activities is recommended. Instructors may give a break within a two-hour synchronous session. On the other hand, instructors may give a short activity to the students within the given break time. Instructors must give more time allowance to the students regarding the submission of their requirements, activities and quizzes. Click “Allow late” on the NEO LMS setting. The instructors are encouraging to make the online class more fun and engaging. Do not give too many activities during their asynchronous (offline) schedule. Give the last 10 minutes for each class for a consultation of students. Have a documentation or a screenshot after the consultation session. Instructors should produce a printed module for those who are living in an area with a poor internet connectivity or signal and unstable power source. 1. SACLI SEAS Facebook Page The SEAS page must be active. Dr. Aileen Maningas suggested some ideas that would help promote the SACLI Page and the Programs under its department, School of Education, Arts and Sciences. Here are some of the suggestions: - Posting of Throwback Pictures for the past years in BS Education, AB Psychology and AB Communication - Birthday greetings to some selected students under each program. The committee should coordinate with the Presidents of each organizations. - Recognition of the Presidents in the organization of each programs. - If there is any good activity that would highlight the School of Education, Arts and Science, post it on the SACLI Page. To promote the department the Faculty members who teaches General Education subjects should ask the students to like or react and share it on their facebook wall. As a form of reward, give them an extra point on participation once done sharing or interacting with the Facebook post.

It was advised by Dr. Aileen Maningas to provide soft and hard copies of the required documents to be submitted on or before July 12, 2021. 2. Final Examination The Office of the Academic Affairs would like to inform the students and faculty members on the following items relative to the forthcoming schedule of Final Examination on June 28- 30, 2021. To wit: 1. E-SOA (Electronic Statement of Account) will be available on students’ portal starting June 15, 2021; 2. Students are encourage to pay their remaining balance before finals thru banks, G-Cash or over the counter; 3. For confirmation of payment, students are required to upload / send the proof of payment to their portal or send it to the Accounting Office e-mail address ([email protected]); 4. Students are required to send the proof of clearance/permit to their respective subject teachers on or before June 25 (Friday), 12:00NN. 5. Students who failed to submit the proof of clearance/permit on June 25 (3:00PM), will not be allowed to take the final examination. (Please find the attached “Process of Hiding Assessment” to students who failed to present the proof of clearance/permit). ) 6. For students who will not be allowed to take the scheduled Final Examination may be allowed to submit the proof of clearance/permit take the examination until June 7, 2021. 7. Students who failed to take the Final Examinations will receive an INCOMPLETE grade. 8. Deadline of submission of grades to the Registrar’s Office will be on July 14, 2021 (Wednesday). The Technology and Online Education (TOEO) will post reminders to students on these matters thru the NEO LMS. The Office of Academic Affairs fully acknowledges the different challenges that our students are facing amid pandemic. However, for us to sustain our operations and to continue providing high-quality education, we must maintain the daily operational expenses of the institution. In this regard, the management is asking for your assistance to require our students to pay their tuition fees and other outstanding balance. Faculty

The opening prayer was led by Prof. Marisol Laureles and it was followed by the Introduction of the newly-hired faculty, Sir Erwin Manalastas. The Dean also announced that there will be a regular monthly meeting of every 2nd Thursday of the month. The Meeting Agenda: 1. The Departmental Policies 2. Submission of Test Papers 3. Maningas, Dean of SEAS reminded the faculty members in the use of the NEO LMS. Using NEO LMS to conduct offline classes such posting of the online modules, quizzes, test and other forms of assessing the students. Also, the Dean reminded everyone regarding the submission of the Weekly Work From Home MOVs or the weekly Class Report. The reports must be submitted on or before every Saturday 1 o’clock in the afternoon.

The faculty should create a summary of students with late and absences. On the other hand, this may not apply to those students living far areas in the province with no internet or poor signal connection. The format is presented below: Date

2. Submission of Test Papers The submission of the Test Papers must be submitted to the Dean preferably 7 days prior to the exam day of the particular subject. The submission of Test paper is for Proofreading purposes since the faculty are always encouraged to create an Alternative Assessment or Authentic Assessment. 3. Classroom Management As part of the adjustments of the Online Hybrid Learning Education, the Faculty Member is encouraged to always start and end the class on time. In addition, the allowance of 10minutes grace period is good enough to do the screenshots as part of the submission of the Weekly Class Report. They are now allowed to end the class 10 mins earlier as part of the preparation of the Faculty Member to its next class. 4. Learning Activities This is a reminder to all of the members, if there are any activities that would highlight the students and the department, School of Education, Arts and Sciences always feel free to post it on the official Facebook page of the department. This may serve as a sort of a promotion of the school and the course offered under the SEAS department. 5. The Scheduled Workshops For this semester, there will be a series of Webinars that would cater to the enhancements of the Faculty Members in delivering a quality education to the Students. These are Echo Webinars wherein the resource speakers will be will be from within the department itself. March 19, 2021

Submission of the Enhanced syllabus to be submitted via Google drive. The OBE syllabus must be signed by the Chief of the Academic Librarian to certify that the books listed on the references written in the syllabus are all located and available at the academic library.

6. Faculty Portfolio The Faculty Portfolio is one of the requirements that needs to be presented in the upcoming PACUCOA Accreditation. In this regard, the Dean reminded everyone to update their Faculty Portfolio. Submission of their 201 files, faculty Rank, updated education backgrounds or trainings and the faculty schedule of their consultation hours. Consultation hours should be 3 hours per week which will be done via Google meet consultation.

7. Accreditation As part of the upcoming PACUCOA Accreditation, Dr. Aileen M. Maningas appointed three committee heads in the different areas that needs to present in the said Accreditation. The committees are as follows: Area I

8. Other Matters The Collegiate calendar is not yet released by the Office of the Registrar. Dr. Maningas tasked Mr. Valdejueza to follow up the said Calendar. Moreover, Ms. Trinidad Imperial announced to the faculty that the students can now access the Academic Library. The library is open every Mondays to Fridays 8:00-5:00pm.

Echo Webinar on Syllabus Enhancement Program The echo webinar or Syllabus Enhancement Program was headed by Dr. Aileen Maningas wherein, she shared her expertise and knowledge in writing a syllabus. For the heading, the logo of the school and the department should be seen. At the center of the heading is the Name of the school, school address and the department’s name. Followed by the Mission, Vision and Core Values of the school on the left and Mission, Vision Core Values of the department on the right. For the Educational Objectives, always use the Educational objectives of the designated program. On the other hand, if the faculty is teaching different courses or programs (General Education) always use the College of Teacher Education’s educational objectives. Adjusted Synchronous and Asynchronous Sessions In line with the released memo on the Revised Guidelines on Monitoring Online Classes for SY 2020-2021, the Office of Academic Affairs thru deans and directors on reiterating all the faculty members regarding the adjustment of synchronous and asynchronous classes for the Finals term. It was also discussed during the meeting that starting on June 24, 2021(Monday), a 50:50 ratio of synchronous and asynchronous will be in order during the final term only. The faculty member will begin its class 30 minutes later than the original schedule and the time adjustment must be declared on the provided Google form attendance and summary of class evidence to be submitted to HR. asynchronous schedule is not necessary. The utilization of the Learning Management System for the adjusted asynchronous class is encouraged. 2. The Dean also reminded the faculty that they can also submit test papers as early as the last week of April. Reminder for those Professors/ Instructors who teaches education/professional subjects to use Multiple Choice Type of test only. Rationalization of the major exam is highly recommended. Discussing each question in the examination is important for us to know if the students really understood our lesson and ensuring the quality of the examination. Learning Activities should be documented that can be posted on the SEAS Facebook Page. Updated faculty Portfolio Here is the content for every Faculty Portfolio: • Faculty profile- CV, Professional License, Educational Background, Certificates (Instruction, research and Community Involvement) • Teaching Appointment/ teaching Contract • OBE Syllabus • Course Guide • Test papers with TOS • Attendance Sheets • Consultation Records • Rating Sheets/ Class records • Evidence of Class Instruction Come One Come All Program For every successful referral, the referrer is entitled for a 1,000 pesos Cash Incentive. The link is already sent thru the academic GC. The name of the student is subject for verification. Online Registration The Online Registration link was also sent in the Academic GC. Our school is now accepting enrollees for the next school year, 202120222. Enrollees can be officially enrolled with as low as 1,000 pesos for initial payment. Facebook Posts at SACLI-SEAS Page The Dean reminded the faculty members on posting on the official SACLI page of SCEAS. During the meeting, the Dean delegated a task to Ms. Rhizza Loma, Ms. Clowie Mindanao and Sir JB Habagat to help Mr. Daven in making or updating the SEAS Facebook Page.

7. Students’ Referral of email addresses All of the Faculty members should ask students to refer 5 email address of their students’ friend specifically Grade 12. Submit email addresses to Sir Daven Valdejueza and Ms. Clowie Mindanao. 8. Consultation Records Every Faculty Member should have a Consultation Record. The asynchronous schedule can also be a time for a consultation made by the Faculty Instructor. 9. AB Communication Society Online Kumustahan All of the concerns and in every online kumustahan was spelled out through Google Forms. There are concerns from the AB Communication Society that may also perceived by the other students in the Higher Education Department. The AB Comm Society Online Kumustahan was presented to the faculty headed by Ms. Nicka L. Ollet and Dr. Aileen Maningas. The Dean also reminded the faculty members to always be considerate and be kind to our students specially we have to consider their emotions, what they feel nowadays that we are still in a pandemic. She also added to not give too many offline activities to the students. The Meeting was adjourned at 9:32 in the evening.
